Privacy Policy

This Privacy Policy identifies the information Cape Ann Indivisible may collect about you and explains how and why we collect, use, disclose, retain and protect that information. Cape Ann Indivisible is an unincorporated association of volunteers based in Rockport and Gloucester, Massachusetts, and neighboring towns.  We are registered as a group aligned with the objectives of the national Indivisible organization but we are wholly independent and separate from that national organization.  

You agree to the terms of this Privacy Policy by using Cape Ann Indivisible’s website or engaging with us in any of the other contexts described in the Scope section below.  If you do not agree to the terms of this Privacy Policy, please do not use our website, our social media accounts, our email addresses or other online systems and do not provide us with your contact information in person or via the website.  

SCOPE

This Privacy Policy pertains to both personal and non-personal information we may receive or collect about you when you do the following:

  • Access our website at www.CapeAnnIndivisible.org, whether directly or via a link from another site or by mobile device; 
  • Provide personal information to us using forms or other methods we provide for submitting inquiries, requests, content, event registrations, surveys or subscription sign-ups on our website;
  • Email our volunteers using email addresses at our CapeAnnIndivisible.org domain;
  • Provide your name, email address or other contact information to us in person at our meetings or public events;
  • Interact with our social media posts;
  • Utilize online services we provide to our volunteers or the public, such as our Google Workspace apps and YouTube accounts;
  • Use websites operated by third parties such as Indivisible.org or Mobilize.us to register for events we sponsor or to request to be put in touch with us. 

This Privacy Policy does not apply to information collected about you by any third party or any third party’s website, social media platform, internet service, mobile application, or communication system, including those you access from links we provide on our website or those which provide links from their website to ours. We are not responsible for any such third party’s privacy practices or their collection and use of information about you. This Privacy Policy also does not apply to contact information you send to the personal email address or phone number of a Cape Ann Indivisible leader or other volunteer which they may retain within their personal email or text system.  

Minors. We do not intend for minors to use our website, email addresses or other online services to submit personal information to us and we do not knowingly collect personal information from minors under the age of 18.  If you are not at least 18 years old, please do not submit any personal information to us via any means, directly or through others. If we learn that we’ve received personal information from a minor, we will remove it from our systems as required by law.

Users outside the U.S.  We expect our website and services to be used only by U.S. residents. If you reside outside the U.S. or access our website or other online services from outside the U.S., you consent to the personal information we collect about you being transferred to, processed, stored and used in the U.S. where laws regarding personal information may be different than the laws of your country.

Changes. We may make changes to this Privacy Policy from time to time.  We will post any changes on our website. If you are on our email mailing list, we will also notify you of changes via email. Your continued use of our website, email systems or other online accounts and services after we post changes to this Privacy Policy will constitute your acceptance of those changes.

PERSONAL INFORMATION WE COLLECT AND HOW WE USE IT

We collect, process, use, store and protect certain personal information about you in the manner and for the purposes described below. We do not share our list of volunteers and contacts with others outside of our organization. We make reasonable efforts to limit access to your personal information to only the volunteer teams and leaders who need that information to provide the services and communications you have authorized and for our internal administrative and operational purposes.

Personal contact information you give us.  We do not collect private personal information about you unless you opt to provide it to us in a specific context for a specific purpose, such as by (i) submitting a form on our website for a particular purpose, including forms for requesting information, subscribing to certain communications or content, submitting comments, calendar event notices or other content for publication, responding to surveys or registering for events; (ii) submitting a form on the websites of other organizations, such as the national Invisible organization at www.Indivisible.org or www.Mobilize.us, for the purpose of registering for an event of ours or requesting to be connected with us; (iii) signing up in person at a meeting or event for the purpose of joining our mailing list, or (iv) emailing your personal contact information directly to one of our team leaders or other volunteers for a stated purpose.  We expect that the personal information you provide in these contexts will be limited to basic contact information: your name, email address, and optionally your town of residence and your phone number.  

By providing your personal information to us in one of these specific contexts, you are authorizing us to use that information for the purpose for which we expect it was provided and for our internal administration and operations.  For example, if you register to join our mailing list, we will add your name to our master contact list and use your email address to send you news and announcements. If you provide your contact information in order to inquire about volunteer opportunities or to ask private questions or make private comments, a volunteer team coordinator will respond to you privately using the contact information you provided. If you provide your contact information in order to submit content you want us to consider publishing, such as blog post comments, articles or event notices, we may use all or part of your name, and potentially your town or residence, to identify you as the source of that content unless you indicate otherwise. If you provide your contact information to us in order to sign up as a team volunteer, we will share that information with the appropriate volunteer team members and they will be authorized to use your information to communicate with you. If you register for an event, we will use your contact information only in connection with communications about that event unless you also request to be added to our contact list.  However, please be aware that if you register to participate in an online event your name as an attendee may be publicly available to others who participate in the event. 

We may also use your personal information for other purposes that are clearly disclosed to you at the time you provide personal information or with your consent. The internal administrative and operational purposes for which we may use your personal information include analyzing our contacts’ demographics and their engagement with our organization and participation in our events, and creating de-identified and aggregated information that may be reported publicly.

Information from social media.  We may collect personal information about you from your posts and other interactions on any of our social media accounts and we may receive additional personal information about you from the social media platform, such as your account ID or username. We will only use that information to respond to you on those accounts.  

Information from surveys. If you respond to a survey or poll we conduct (whether on our website, or by email, web app or other means), we may maintain and use your responses internally to inform and improve our work and we may publicly summarize and report your responses when de-identified and/or and aggregated with the responses of others in a manner that does not identify you. 

Information from other sources:  We may supplement the personal information we collect about you, as described above, with information we obtain about you from publicly available sources, such as demographic and occupational information from LinkedIn.  We will use this information only internally to enhance or confirm the accuracy of our records and to better understand the demographics of those who engage with us.

If we receive contact information for you from other sites or organizations because you signed up for an event of ours or you requested that they put you in touch with us, we will use that information in the same manner and for the same purposes as if you had provided that information to us directly. However, we are not responsible for how those other sites or organizations use the information they collect from you or convey to us.  If you prefer that we do not receive your name or contact information from the national Indivisible organization or its network groups, you can let them know by following the instructions in the opt-out procedures in their privacy policies.  If you have any questions about how to do this, please contact the national Indivisible organization at contact@indivisible.org.

NON-PERSONAL INFORMATION WE COLLECT AND HOW WE USE IT

Cookies and Tracking Technologies. Our website deploys ‘cookies’ which are small text files placed on device browsers that store preferences and enable and enhance your website experience. Our site uses strictly necessary cookies which are required for the website to function and cannot be switched off in our systems. These cookies do not collect any personally identifiable information.  They are usually only set in your browser in response to actions taken by you that constitute a request for services, such as setting your privacy preferences, logging in or filling out forms. You can set your browser to block or alert you about these cookies but then some parts of the site may not work. 

Our site also uses certain performance, analytical and function cookies. Performance and analytic cookies monitor and analyze site functionality, such as determining page load times, page visits, time spent on pages and error messages generated.   We use performance and analytical cookies to understand and improve site usage. Functional cookies are used to improve the user experience; they detect and store user changes to the display settings or data requested by the user. These cookies do not track the user’s activities on other websites. 

Some of the service providers who provide certain features of our website may also use cookies and other tracking technologies that collect information about you. For information about how you can manage cookies and tracking technology deployed by other service providers in conjunction with our site, see Your Options below.  

Content submissions. Our use of your content submissions is subject to separate guidelines that will be shared with you when you make a content submission. We expect that your submission of content authorizes us to publish that content publicly, if we choose to do so, and that we may identify you as the source of that content unless you’ve requested otherwise in writing.

HOW WE SHARE INFORMATION WITH OTHERS

In addition to the ways in which we collect and use your personal and non-personal information to provide services and for internal administrative purposes, as described above, you acknowledge and agree that we may also share information about you with others in the limited ways described below.  

Data that is not personally identifiable. We may publicly share summaries, statistics and stories about our organization, its activities and participants that incorporate information derived from information we’ve collected about you, provided we do so in a manner that does not personally identify you, such as information that has been de-identified or anonymized.  

Third-party service providers.  We engage third-party service providers to perform functions on our behalf such as website hosting, content management, email services and analytics.  These third parties may have access to your personal information through us when needed to perform their functions. If we share information with such a third party that personally identifies you, such as your name, email address, or phone number, we will require the third party to maintain the confidentiality and security of your personal information and they will be restricted from using, selling, or distributing such personally identifiable information in any way other than to provide the requested services on our behalf or as otherwise required or expressly permitted by law.  

Reorganization.  If we incorporate or reorganize Cape Ann Indivisible into another form of legal entity, we expect to transfer our information assets to that entity, including any information we have about you, provided the new entity agrees to follow the practices described in this Privacy Policy with respect to that previously collected information.

Law Enforcement, Legal Process, and Emergency Situations.  We may access, use, preserve or disclose your personal information if required to do so by law or on the good-faith belief that such action is necessary to (a) conform to applicable law or comply with a court order, subpoena or other legal process served on us or our website; (b) assist with an investigation or prosecution of suspected or actual illegal activity; (c) protect the safety, property or rights of our organization’s volunteers, contacts, supporters, website users or the public; or (d) enforce our policies or contracts. 

INFORMATION SHARING WE DO NOT KNOWINGLY ALLOW 

No sales or exchanges. We do not sell, exchange or share personal information about our contacts, volunteers, supporters or website users with others.  

Advertisers. We do not partner with third-party advertising companies and we do not knowingly allow advertisers to collect information about you when you use our website.

YOUR OPTIONS 

Opt out of emails. You may opt to stop receiving email communications from us anytime by following the unsubscribe directions provided in those emails.  We may elect to retain previous emails and attachments from you which would then remain subject to this Privacy Policy.

Withdraw your consent to our use or retention of your information. You may withdraw your consent for any future use of your personal information we might otherwise make as described in this privacy policy.  You may also request that we remove your personal information from our records, in which case we will remove you from our contact records but we will retain information about you associated with your past and future participation in our activities, such as events and content submissions. To withdraw consent or request that we remove your personal information, please send us a written request at admin@capeannindivisible.org or complete the contact form on our website for submitting questions and comments.  Such a withdrawal will only take effect after we’ve received and processed your request and will not affect the lawfulness of our actions before the withdrawal.

Request corrections.  You may request that we update or correct information about you in our records by sending us a written request at admin@capeannindivisible.org or by completing the contact form on our website for submitting questions and comments. 

Decline or delete cookies in your browser.  Both our website and those of our service providers utilize cookies, as described above. If you do not agree to our use of cookies or similar technologies which store information on your device, you should change your browser settings to block or notify you when you receive a cookie.  You can also delete cookies or browse a website using your browser’s anonymous usage setting. However, if you use your browser settings to block all cookies (including strictly necessary cookies) you may not be able to access all or parts of our website. Please refer to your browser instructions or help screen to learn more about how to do so. Depending on your location, our website may prompt you to consent to certain cookies and similar technologies before we use or install them on your computer or other device; in that case that prompt will also provide an option for you to decline all or some cookies.

Learn your opt-out options under third-party privacy policies. Many of the third-party internet sites that we provide links to in our emails, on our website and in social media posts, as well as the social media platforms we use and the service providers that deliver features of our website and related data services, use cookies and tracking technology to collect data about you. Their privacy practices may differ significantly from the provisions of our Privacy Policy. To ensure your privacy is protected, we recommend that you review the privacy policies of those third-party sites, service providers and social media platforms, which may permit you to opt out of or modify some of their data collection and use practices.

HOW WE SECURE YOUR INFORMATION

We use the Google Workspace platform for our email services and for storing almost all of our organizational documents and information, including personal information that is subject to this Privacy Policy. Google Workspace and our website platform incorporate physical, technical, and administrative procedures to safeguard the confidentiality of your personal information, including the use of encryption in transit, firewalls, limited access and other controls where appropriate.  Our privacy practices limit volunteer access to your information on these platforms to those who need it for authorized purposes and who have agreed to not make unauthorized uses or disclosures of that information.  

While we make reasonable efforts to safeguard your personal information once we receive it, please be aware that no transmission of data over the Internet or any other public network can be guaranteed to be 100% secure.  You can help protect the privacy of your own information by using encryption and other techniques to prevent unauthorized interception of your personal information in transit.  You are responsible for the security of the personal information that you transmit to us or view, download, or otherwise access when using unencrypted, public or otherwise unsecured networks.

OTHER IMPORTANT INFORMATION

State Privacy Rights.  As a small nonprofit collective we are not currently subject to state privacy laws but our Privacy Policy provides many comparable disclosures, practices and protections.
